The ability to view and accept quotes online makes it easier for your customers . To create the External View for the Quote, an Email Template needs to be created with the link to the Quote online.

Creating Email Template

1. To create an Email Template, go to Administration → Email Templates. Once an Email Template has been created, it can be used when sending an email from the Quote.


2. Choose Quote from the drop down menu and type the text that you want to hyperlink then highlight it and click Quote Link under Email Fields.

In this example, we entered the text "Click Here to View and Accept Quote Online on the email body.



3. A pop up box appear and click Insert



Note: You can tick the box beside Open link in new window if you want the quote acceptance link to open as a separate window when clicked by your customer.


4. The text should automatically change to blue font with underline as it is now a clickable quote acceptance link.


5. Click Save to proceed with the changes.


Viewing the External Quote


Once the email containing the link to view the Quote online has been sent, it will appear in the History tab of the Quote. This will allow you to see the same view of the Quotation online that the Customer will see.


 


Accepting Quote

The template selected on the Quote when sending the email will be used to display the Quote online to the Customers. Your customers will be able to accept the quote online by clicking Accept Quote. 



After clicking the accept button, a pop-up appears for a user to digitally sign the acceptance and enter their name.

Notification of Quote Acceptance 

Once a customer accepted the Quote online, a notification will be emailed to the associated user. 


When you click the link again, quote status should show as Quote Accepted.
