Ascora’s new Activities feature allows you to add non-job-related tasks directly into a user’s schedule within the calendar, making it easier to manage time and resources. This feature is perfect for adding events like meetings, equipment pickups, or key drop-offs that don’t need to be linked to specific jobs but are still essential to a team’s workflow.


Setting Up Activity Types

To configure activity types, follow these steps:

  1. Navigate to Administration → Scheduling → Activity Types
    Here, you can define different types of activities you’ll schedule, such as meetings, site visits, or errands.

  1. Adding New Types on the Go
    You can also create new activity types directly within the scheduler when setting up a new activity, saving time and reducing back-and-forth configuration.

Setting Permissions for Activity Viewing

Permissions allow control over which users can see private activities in the calendar:

  • User Permissions
    Within each user’s profile, you can set permissions to view private activities. If an activity is marked private, only users with permission can view its details.

  • Self-View Access
    Keep in mind, if a user has permissions to view only their own activities, they won’t be able to see other users’ private activities, so this setting won’t apply.


Creating a New Activity in the Scheduler

To add an activity within the scheduler:

  1. Select the “Activity” Option

  2. In the Drag to Add options, choose Activity

  3. Click on the Scheduler, Hold and Drag it over the desired time slot on the calendar.

Note: You do not drag the button to the calendar. Instead, simply select the activity option, then click in the scheduler, hold, and drag out the allocated time.


  1. Configure Activity Details

    • Select Activity Type: Choose from existing types or create a new one on the spot.
    • Assign Users: Add the users for whom this activity is relevant.
    • Title: Enter a title that clearly defines the purpose of the activity.
    • Privacy: Decide if this activity should be private.
    • Description: Add any additional notes or instructions for the activity.

  1. Bulk Edit Options
    Activities can be edited individually or as a group. For instance, you can modify multiple scheduled activities in bulk to update details or reassign tasks.


The new Activities feature is designed to streamline calendar management, enabling a more organized approach to non-job-related tasks within Ascora. Whether you’re scheduling a team meeting or assigning someone to pick up materials, this tool makes it easy to keep everything in one place.
