Ascora has standard fields in many areas whether it's in job card, customer, purchase orders, etc.. that are available across Ascora accounts. Examples of these standard fields are Job Number, Job Description, and Work Undertaken in the job card or job screen.

However,  you might need to add custom fields to add certain information that are not available in the standard fields. If you are new to adding custom fields, please access How to add a Custom Field user guide to learn about it first.

Once you've added your custom fields, you can add them in your custom form and it is important to know the difference between adding standard field codes and adding custom field codes.

Standard Field Codes

When adding standard field codes, you need to enclose them in squiggly brackets and remove the spaces between words and follow the format (capitalised letters should also be capitalised.)

Custom Field Codes

When adding a custom field code, you would still need to enclose it in squiggly brackets, follow the format (capitalised letters should also be capitalised) but you also need to follow the exact spacing (meaning if the custom field has spaces between words, you should also follow this format.)

(warning) Note: What makes it different when you add custom fields as field codes is you will follow the exact spacing thus Project Sign Off By is written as {Project Sign Off By}.

When adding standard field codes you simply have to remove the space between words and thus Job Number is written as {JobNumber}.


When you add custom fields, you can find them in the mobile app  by navigating to Custom Details tab.


The following image shows the custom field called Project Sign Off By which we are adding to the custom form as field code.



Updating Custom Form Template

1. Download your custom form by going to Advanced → Custom Forms and click View beside the Custom Form Name which is basically the form that you need to update.




2. Click Download Template and it will download the Word Document file which you can edit and in this user guide, we are adding a custom field called Project Sign Off By as field code in a custom form called JSA Custom Form - Test. 


3. Open the Word Document template that you've downloaded and make the necessary adjustments.


Note: When you are adding custom fields for information that your technicians will manually enter in the mobile app Job Custom Details tab, you will only need to update the custom form by adding the corresponding field code and the corresponding information will auto populate once the custom form is generated.

In cases when you want your technicians to manually answer a custom form question in the mobile app, you will need to add the corresponding field code and also update the Custom Form Question. To learn more about adding custom form question, please access How to update a Custom Form user guide.


4. In the following image, it shows the field code that we've added called {Project Sign Off By} which is basically the custom field that we want to be shown in the custom form. 

In this example, we've added a label but it depends on your requirements which means that you may add it in a table format, or perhaps apply different font colour and formatting.

5. After adding the field code in the custom form, save a copy in your computer and upload it back into Ascora by going to Advanced → Custom Forms → click View beside the Custom Form name but this time, click on Upload New Template.

6. Ensure to click the Save button to proceed with the changes.

Testing your Custom Form on your Mobile App

This guide makes use of the Android App as an example but in iOS App, you need to tap on Forms from the Job screen.

Make sure to synchronise first before running a test to make sure the mobile app is picking up the updated form.


1. Access your job from the mobile app.


2. Navigate to Custom Details area and enter the information in the custom field.

In this example, we enter Supervisor A in the custom field Project Sign Off By.


3. Navigate to Custom Forms tab and tap the + button.


4. Click Generate and it should create a PDF file.

Remember not to use a draft or previously saved custom form to do the testing. Always tap the + button  to test a new one since drafts won't be able to pick up any updates. 



5. After generating the form, you should immediately see the newly added information and in this example, it's the custom field called Project Sign Off By with information Supervisor A as entered earlier in the mobile app.


(info) We've now completed the process of adding a custom field in a custom form particularly under Job category but you can also add custom fields in other areas such as Customers, Purchase Orders, Invoice, Quotes, etc.
