In this User Guide, we will step through on how to set up connect your Gmail account to Ascora and use it in sending emails whether invoices, quotes, purchases orders, etc.
You'll also be able to configure your Gmail account to link your email accounts to Ascorasend from a different email address and this is helpful if for example, you want invoices sent from an Accounts email instead of your main email account.
How to connect a Gmail account to Ascora
1. To connect Ascora to a Google email service, you need to create a Gmail or G Suite account or if you have one already available, then go to Administration → System Settings, then click on the button “Connect to Gmail”
2. A Google page will open asking to log into your email account.
32.1 If you'll see the following screen after selecting your Gmail account, just click on Advanced.
2.2 Click Go to Ascora (unsafe) to proceed. Please note that this prompt appears as a security measure in Google.
3. After entering in your email and password correctly, it will display the following message and please click Allow to continue.

You might also need to enable less secure apps by going to your Gmail and click a link from there. Alternatively you can use the following link to enable less secure apps. |
4. After allowing Ascora to access your google account, the page will return to the Ascora System Settings Now the email settings will show that you are connected to Gmail.
5. At this point you are able to test if this function is working by sending an email from Jobs, Quotes, Invoices or Enquiries to yourself.
How to set Ascora to send emails
There are three ways to send an email from Ascora:

How to send emails from a different Email Address on Ascora.
To send emails from another account in Gmail, you will need to follow the next steps as described below:
1. Go to the Gmail account you used to set up your current email on Ascora and find Settings which is located within the right-hand side icon menu.
2. Once you are in Settings, go to the tab Accounts and Imports. Next, go to the option Send mail as and click on the Add another email address
3. When you click on this link, a window will pop up and ask which the email address you would like to add.
4. Enter in the email address to be added, then click Next Step and that will display a new window. This will then prompt you to Send Verification which will send an email to the email address you are trying to link.
5. After clicking on Send Verification a new window will pop up asking for some information in regards to the email account you are trying to link.
6. Next, you will need to log into the email address you are trying to link. After you login, you will find an email that was sent as part of the previous verification process.
7. After opening this email, you will need to click on the link to confirm access to this account. Next, copy the confirmation code shown.
8. After copying this code, go back to the main email account and paste that code into the Enter and verify the confirmation code space provided. Click on Verify.
9. The window will now close and show that you have linked a new email address in Send mail as.
10. To test if the configuration was successful, you can create a new email and the “From” option on the email to be sent, will have the two emails available to choose from- the Default email and the new email you just linked to your Gmail account.
11. After those steps are completed on Gmail, go back to your Ascora System Settings and select which email option you would like to set.
How to delegate other emails to be used as Ascora user.
If using the Send from User option you would need to link the email addresses of any users who will be sending emails from Ascora using the above method.
If using the set Send From to send from a specified and unchanging email account you would need to ensure the email address entered has been setup using this method.
