Retentions generally occur on the larger construction projects.  Retentions are when an Invoice is generated for a certain amount but the Customer (usually a builder) does not pay the full amount – instead they “retain” a small percentage up to an agreed maximum for the project.  Once the maximum amount/percentage of the total project is reached, no more amounts are retained.

Once the Job has been completed, a percentage of all the retained amounts is then paid, followed by the balance being paid typically 12 months later.

Ascora helps by tracking the Retention amount per Invoice and notifying the User when the Completion and Final Retention Invoices are due.

The amounts pushed across to your integrated accounting package by Ascora will only be for the Invoice amounts less any retention amount.



Configure Default Information for Retentions

1.  Hover the mouse pointer over the Administration Icon in the Top Menu and choose Defaults from the dropdown menu.  The Default Settings Screen will display.




2.  Scroll down the screen to locate the Retentions section.  Tick the checkbox to enable Retentions.  


You have the option to select  Standard Retention Type or the Sliding  Scale.

In this first example, let's select Standard Type.


3. The Retentions default options will display.  Enter your common Retention percentages and set the period for which you will issue the Final Retention Invoice.


A – The percentage from each Invoice that will be retained 

B – The maximum percentage (of the total project value) that can be Retained across the entire project

C – The percentage of retained amounts that will be Invoiced on project completion

D – The period of time after the project is complete before Invoicing for the final balance of Retentions

E – The percentage of Retained amounts that will be Invoiced after the defined time period (D) for the Final Retention Invoice


Note that the percentage values for C and E will automatically adjust to achieve a total of 100%.



4.  Click the Save button at the top of the screen to save your Retention defaults.





Retentions on a Job

Once you have enabled Retentions – either by default on the Default Settings Screen, or for a particular Job by ticking the Retentions Enabled checkbox under the Retentions Tab on the Job Card – the Retention values generated will be based on your default Retention settings and the total value of the Job.


For example, on a $10,000 ex GST Job, the Retentions Tab would show the following:




When you generate Progress Claims or standard Invoices, the Retention amounts for each Invoice will be displayed in the Retentions Tab on the Job Card.




Once the Job has been completed, you will be able to generate the Job Completion Retention Invoice.  The value of this Invoice will be based on the total amount of Retentions for the Job and the percentage you set for On Job Completion Amount Ex Tax.




Once the Final Retention amount is due (based on the Retention Period After Job Completion you have set), you can generate the Final Retention Invoice associated with the Job.  The value of this Invoice will be based on the total amount of Retentions for the Job and the percentage you set for the After Retention Period – Retention Amount Ex Tax.




If you have enabled Retentions by default on the Default Settings Screen, once a Job has been completed, the Retentions that are due for the Job will also be displayed on the Dashboard for you to action.


Sliding Retention

When you select  Sliding Retention as type, retention calculation starts using the lowest retention limit, then calculates the next value until end the retention limit list.

When you add multiple retention limits, the retention is calculated based from previous calculation.

For example, if you have an invoice value for $1000 and two retention limits, first retention limit for 200 and a percentage of 10%, and a second retention limit for $800 with a percentage of 5%, for the first 200 value of you invoice, the retention is $20, then for the next $800 invoice value, the retention is $40, the total retention value is going to be $60 or the 6% of the total invoice value.


Please refer to the image below as a representation of the above settings wherein two retention limits are set.

  • Low - for $200 at 10%
  • Medium - for $800 at 5%


In the following image, we have  an invoice with value $1,000.00 ex tax as Fixed Price.

Based on two retention limits set, retention amount is equivalent to $60.00.

Calculated by:

                    10% Retention for $200 is $20.00

                    5% Retention for $800 is $60.00



Scenarios

If you have multiple scale retention limits and at the end, the remaining amount is bigger than the last retention limit amount, it uses the full invoice remaining amount, not the retention limit amount and calculates the retention percentage for that invoice remaining amount.

In the following example, we have three scale retention limits set namely 10% of $200, 5% of 500, and 1.75% of $1000.


In the following image, we have an invoice with a value of $2,000.00 ex tax as a Fixed Price.

Based on the three retention limits set, the retention amount is equivalent to $67.75.

Maximum Retention Limit

You can also set your maximum retention limit and if this is enabled, the value you put here will be used if the retention value is higher based on the scale retention limits.

If we use the same example earlier wherein the retention value is $67.75, once the maximum retention limit is enabled for $50.00 then the actual retention amount will be $50.00.
