Overview
Depending on the industry or the type of business that you run, you may have additional set of information that you want to be shown on Job, Quote, Customer, Equipment, Purchase Order, or Invoice. The option to add your preferred information is made easy by using “Custom Field” feature.
This guide will help you learn on how to add Custom Field under Quotes and be able to use similar steps in adding Custom Fields for Invoices, Jobs, Equipment, and many more.
These custom fields will be shown on the app as well. Custom field created with the same name will flow from Enquiry to Quote to Job.
You can add Custom Fields for any of the following:

Adding a Custom Field
1. Log into your Ascora Web Portal and click on Administration and then select Custom Fields.
2. In the Custom Fields area, select from the drop down menu the module you would like to add your custom fields to. In this example, we’ll select Quote and we’ll add a Custom Field called Site Inspection Date.
You will see two tabs namely Details and Custom Details.
- Details – is the main Details tab.
- Custom Details – can be used for a whole new tab specially for large number of fields.
3. Let’s create a custom field in the Custom Details Tab. To proceed, click on Custom Details, and then click on Add Field.
4. After clicking Add Field a pop up box appears for you to complete.
Name – type the name of the custom field you are creating.
- Type – select from a variety of types whether they are Date, Text, Area, or Dropdown list.
- Required – tick this if the field must always be filled in.
- Required Message – where you can put some quick notes if you have important instructions to be followed.
- Save – click this once all of the above details are already entered.
NOTE: You can also add a Heading to break up the Custom Fields into clear areas. You can do it by clicking Add Field and complete the following. · Name – where you type the name of the Heading. In the example shown below, we name our heading “Additional Details.” · Type – select Heading and click on Save. |
Rearranging Custom Fields
1. Your added Custom Field will now appear at the bottom of the right panel. Just drag and drop it to the left side under Custom Details tab or wherever you like to position it and click on Save Changes.
NOTE: You can always rearrange any of the fields by dragging them to their desired location. |
Testing Custom Fields
1. After adding the Custom Field, we now need to check and confirm the changes made.
To do so, Click on Quotes tab, and click on New, or alternatively open and existing Quotation.
2. Click on Custom Details tab and you will see the newly added Site Inspection Date field located on the top most section the way it was positioned while making the changes earlier.
Congratulations! You’ve just learned how to add Custom Field for Quote.
You can repeat the above steps to add Custom Field for any of the other modules in Ascora.
Quick Steps
- Go to Administration à Custom Fields.
- Choose where you would like to add a Custom Field from the dropdown
- Click on Custom Details àAdd Field
- Enter the necessary information and click on Save
- Drag and Drop your Custom Field into position and click Save Changes
- Test your changes by creating a new Entity or opening an existing one.
NOTE: Changes made will also appear in Ascora Mobile Apps. If you create these fields in the same name, the answer of these custom fields will flow from Enquiry ->Quote →Job |
Viewing Custom Fields in the Ascora Mobile App (Android)
To test the newly created Custom Field, log in to the Ascora Mobile App on your phone or tablet. The screenshots below are based on the Android version of the Ascora Mobile App. This will work in a similar way on your iOS version of the Ascora mobile App. (Refer to page 15 for the iOS version)
1. Log in to the Mobile App by entering your User email address and assigned Pin Code and tap the icon beside Schedule.
2. Tap Quotes and then tap the + icon on the upper right.
3. Tap Customer to select the Site Customer and input the necessary details then click Save.
Swipe left to reveal the hidden tabs on the right and look for Custom Details.
4. Tap Custom Details and you should see the newly added Custom Field called Site Inspection Date positioned under Additional Details heading.
5. If you added Custom Fields under Details tab, you can also see it in your Android mobile app. This is applicable if you don’t have much information to put in Custom Details tab and instead, you add custom fields under Details tab.
6. To proceed, tap Details from the main Quote screen then scroll down and tap Customer Name.
7. Scroll down and you will find your newly added Custom Field.
In the following example, we’ve added Custom Field named “Comments or Special Instructions” in Details tab under a heading named Additional Details.
Adding Custom Field to Equipment
Following the same steps, you can add Custom Fields to Equipment. This is helpful when you need to add certain information unique to your equipment.
1. Repeat steps 1, 2, and 3, but choose Equipment from the dropdown menu. After saving the changes in Ascora web, you should be able to see the same information in your Android mobile app.
2. From your Android mobile app, select an existing job, a quote, or a customer, and scroll to the right and tap Equipment and then the + icon located at the lower left portion of the screen.
In this example, we choose from one of the existing jobs.
3. Tap the + icon again and tap Details tab. You should see the newly added custom field.
In the following example, we added the custom field named Testing Completion Date under Equipment module.
Adding Custom Field to Job
You can also add Custom Fields to Job. After saving the changes in Ascora web, you should be able to see the same information from the mobile app.
1. Tap an existing job and you should see the newly added Custom Field right away. In this example, we added the custom field named Additional Tasks Completed under Details tab.
2. If you’ve added it in Custom Details tab, simply scroll to the right and tap Custom Details tab where you can see your newly added custom field.
Viewing Custom Fields in the Ascora Mobile App in iOS
To test the newly created Custom Field, log in to the Ascora Mobile App on your iPhone. The screenshots below are based on the iOS version of the Ascora Mobile App.
1. Log in to the Mobile App on your iPhone by entering your User Email Address and assigned Pin Code and tap the icon located on the upper left.
2. Tap Quotes and then tap the + icon on the upper right.
3. Tap Site Customer and input the necessary details then click Save. Scroll down and look for the heading Custom Details. Your newly added custom field will appear.
4. If you added Custom Fields under Details tab, you can see it right below Details tab or under a heading if you’ve also added one.
In the following example, we’ve added a custom field named “Comments or Special Instructions” under a new header called “Additional Details.”
Adding Custom Field to Equipment in iOS
Following the same steps, you can add Custom Fields to Equipment. This is helpful when you need to add certain information unique to your equipment or perhaps you just need to rearrange some fields.
1. Repeat steps 1, 2, and 3, but choose Equipment from the dropdown menu. After saving the changes in Ascora web, you should be able to see the same information in your iOS mobile app.
2. From your iPhone mobile app, select an existing job, a quote, or a customer, and tap Menu located at the upper right portion of the screen.
In this example, we choose from one of the existing jobs.
3. Tap Equipment and then tap Equipment Details to show more information.
4. Scroll down and look until you see Custom Details tab. In the following example, we added the custom field named Testing Completion Date under Equipment module.
Adding Custom Field to Job in iOS
You can also add Custom Fields to Job. After saving the changes in Ascora web, you should be able to see the same information from the mobile app.
1. Tap an existing job and you should see the newly added custom field right away. In this example, we added the custom field named Additional Tasks Completed under Details tab. If you’ve added it in Custom Details tab, simply scroll down further down and you should see the Custom Details section.
2. In the following example, we added a custom field called Special Instructions under Custom Details tab.
